Privacy Policy

Effective September 1, 2026

Trust Accounting Pro operates TrustAccountingPro, a cloud-based fiduciary accounting platform. This Privacy Policy explains how we collect, use, and protect information when you use our website and services (the “Service”).

1. Information We Collect

We collect information you provide directly and information generated by your use of the Service.

Account information. When you register, we collect your name, email address, organization name, and a password. If you subscribe to a paid plan, our payment processor (Stripe) collects your billing details; we receive only non-sensitive billing metadata.

Estate and trust data. The fiduciary accounting records, transaction histories, beneficiary information, asset valuations, documents, and reports you enter ("Estate Data") are yours. We process Estate Data only to operate the Service on your behalf and never use it for our own commercial purposes.

Financial account data (via Plaid). If you choose to connect a bank or financial account to import transactions, we use Plaid Technologies, Inc. ("Plaid") to facilitate that connection. Through Plaid we may receive: financial institution name, account type, account and routing numbers, account balances, and transaction history. This data is used solely to populate your estate accounting ledger and is not used for any other commercial purpose. You can review Plaid's privacy practices at https://plaid.com/legal/#consumers.

Usage and log data. We automatically collect server logs, IP addresses, browser type, and feature interaction data to diagnose problems and improve the Service.

Cookies. We use session cookies for authentication and preference cookies to remember your settings. We do not use advertising or third-party tracking cookies.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Service • Process subscription payments and send billing-related notices • Respond to your support requests and communications • Send product updates and service announcements (you may opt out at any time) • Detect and prevent fraud, abuse, and security incidents • Comply with legal obligations

We do not sell your personal information. We do not use Estate Data to train machine learning models.

3. How We Share Information

We share information only as described below:

Service providers. We share data with vendors who process it on our behalf, including Stripe (payment processing), Plaid (financial account connectivity), DigitalOcean (cloud infrastructure), and Postmark (transactional email). Each provider is bound by a data processing agreement.

Plaid. When you connect a financial account, your credentials are transmitted directly to your financial institution through Plaid and are never stored on our servers. The financial data we receive from Plaid is used only to operate the Service. Plaid's use of your data is governed by its own End User Privacy Policy, available at https://plaid.com/legal/#consumers.

Legal requirements. We may disclose information if required by law, subpoena, or court order.

Business transfers. If Trust Accounting Pro is acquired, your information may be transferred. We will notify you before your information becomes subject to a different privacy policy.

We do not share Estate Data with other customers and do not sell any personal information.

4. Data Security

We implement administrative, technical, and physical safeguards to protect your information:

• Encryption of all data in transit (TLS 1.2+) and at rest (AES-256) • Role-based access controls limiting employee access to production data • Regular security reviews and dependency auditing • Secure, isolated per-organization data storage

If you believe your account has been compromised, contact us immediately at admin@trustaccountingpro.com.

4a. Financial Data and Plaid

When you use our bank connection feature, Trust Accounting Pro partners with Plaid Technologies, Inc. to connect to your financial institution. By connecting an account, you grant Trust Accounting Pro and Plaid the right, power, and authority to access and transmit your personal and financial information from your financial institution as reasonably necessary to provide the Service.

Your use of the Plaid connection feature is subject to Plaid's End User Privacy Policy, available at https://plaid.com/legal/#consumers. We encourage you to review Plaid's policy before connecting any financial accounts.

We do not store your online banking username or password. Plaid uses tokenized credentials to maintain the connection. You may revoke access to any connected account at any time from within the Service.

5. Data Retention

We retain your account information and Estate Data for as long as your account is active. If you cancel, your data is retained for 90 days to allow for reactivation or export, then permanently deleted.

You may request deletion of your data at any time by contacting admin@trustaccountingpro.com.

6. Your Rights and Choices

Depending on your location, you may have the right to access, correct, or delete your personal information, export your Estate Data, or opt out of marketing communications.

To exercise these rights, contact us at admin@trustaccountingpro.com. We will respond within 30 days.

7. Cookies

We use strictly necessary cookies to operate the Service and functional cookies to remember your preferences. We do not use advertising cookies or share cookie data with ad networks.

8. Children's Privacy

The Service is not directed to children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us at admin@trustaccountingpro.com.

9. Changes to This Policy

If we make material changes, we will notify you by email or by posting a prominent notice in the Service at least 14 days before the changes take effect.
